Terms and Conditions
Thank you for visiting Ignite the Spark Retreats!
As a potential Retreat Participant (“you,” “your”), please read the following Terms and Conditions before reserving your place at an Ignite the Spark Retreat (“we,” “us,” “our,” or “ITS Retreats”).
1. Ignite the Spark Retreats is not a travel agency and cannot book flights or issue airline tickets.
2. A binding contract between ITS Retreats and you (the lead name on the booking) is only made when we issue you a confirmation after receiving your payment.
3. We reserve the right to alter the price of any retreats shown on our website or in our written proposal to you at any time before your booking is confirmed. You will be advised of the current price before your booking is confirmed. Pricing is displayed in US dollars, based on single occupancy and includes all taxes. Price changes are not retroactive and confirmed retreat participants will not be affected by any price changes. There is no price reduction for participants arriving late or leaving a retreat early. A discount for shared rooms is available on a limited basis on a first come-first served basis.
4. Please note that all payments must be made in USD. If your payment is not denominated in USD, the final price will be calculated in accordance with the applicable exchange rate on the day your card issuer processes the transaction.
INCLUDED IN RETREAT PRICE
1. Your accommodations from the start date to end date of the retreat, which will be confirmed in writing;
2. The retreat program, including all workshops and one-on-one scheduled times with mentors;
3. Transportation from and to a pre-determined central location for your retreat, however, If you arrive or depart outside of these times, you are responsible for arranging and paying for such transportation;
4. Three meals per day are included in the itinerary once at the retreat, except the first and last days, where only one meal will be provided. Snacks, teas, and alcohol may be provided as outlined on your specific retreat page;
5. All included group activities and side excursions per the itinerary. Some services during free times may incur an additional cost and will have their costs clearly available both on the website and at the retreat;
6. A full-time ITS Retreat “Host(s)” will be with the group throughout the full course of the retreat, as well as all planned group activities and available 24/7.
Note: The itinerary is descriptive, not definitive, and is subject to change. There also may be modifications due to weather and availability of local activities and guides.
NOT INCLUDED IN RETREAT PRICE
1. Airfares and airport taxes (unless otherwise noted), nor transportation to and from the designated pick-up spot;
2. Gratuities for the hotel portage an/or other special services. Tips are optional and at the discretion of the Participant;
3. Personal charges such as room service and bar charges and all items of a personal nature;
4. Travel, accident, baggage, health, or life insurance;
5. Private excursions and recreational activities not outlined in the itinerary;
6. Passport and/or visa charges when applicable;
Additional expenses incurred as a result of delay, change of schedules, illness, weather, strikes, hostilities, quarantine, or any other reasons beyond the control of Ignite the Spark Retreats, shall be borne by the participant.
HEALTH
ITS Retreats may include walking on stairs, on uneven ground, and some optional hiking. Any pre-existing physical, mental, or emotional disability that may require attention or treatment must be reported in writing prior to the beginning of a retreat. All retreat participants are required to complete and sign a Medical Release and Waiver Agreement. It will be your responsibility to ensure that you and all members of your party will be able to comply with all health formalities for the destination concerned.
If you or any member of your party have any disability, reduced mobility or medical condition, you must notify us before you book in order that we can ensure your travel experience with ITS Retreats is appropriate and enjoyable. All health and mobility information will be only be used in order to advise you in relation to your booking and for passing to suppliers of your travel experience in accordance with our Privacy Policy.
Smoking is allowed in safe, outdoor locations only, and away from other participants.
TRAVEL INSURANCE
ITS Retreats recommends the purchase of comprehensive travel protection to cover possible additional costs (lost airline tickets, loss of luggage, trip delay, illness, medical evacuation, etc.).
If you do not purchase travel insurance, you are fully responsible for any costs related to the cancellation or delay of your trip. Refunds are not possible for any reason, so please protect your travel investment with travel insurance. Comprehensive travel insurance benefits may include trip cancellation, interruption, travel delay, lost baggage, worldwide health & medical coverage, emergency medical evacuation, hurricane protection, and more.
We partner with Wanderwell, a Certified B Corp travel insurance agency that can offer coverage and advice for travel insurance plans. Wanderwell makes this as simple as possible, offering a modern, comprehensive trip protection style plan designed to cover the most common travel perils related to trip cancellation, trip interruption, trip delay, travel Medical Expenses, baggage & personal effects, Emergency Medical Evacuation, and more.
If you choose to purchase through Wanderwell, you can buy the trip from our ITS Retreats partner page by contacting us. At least 1% of your purchase premium price will be donated to the Planet Impact Fund through 1% for the Planet network.
ITS Retreats assumes no liability for the safety of any retreat participant while in transit or during the retreat. Before participating in the travel activities, all retreat participants will be required to sign a Medical Release and Release of Liability. If a ITS Retreat is canceled, and you purchased travel insurance, ITS Retreats cannot refund the cost of your travel insurance.
TRAVEL DOCUMENTS: PASSPORTS AND VISAS
ITS Retreats will provide you with general information relating to passport and health formalities relevant to US citizens for the destinations included retreat. Most countries now require passports to be valid for at least 6 months after your return. It remains your responsibility to ensure that you and your party will be able to obtain, and will be in possession of, all necessary travel documents/visas in advance of travel. We will not accept liability if you or any member of your party is refused entry onto any transport or into any country due to failure on your/their part to carry correct documentation or to comply with relevant health formalities.
CHANGE OF ITINERARY/PROGRAM
While we endeavor to operate all retreats as described in the itinerary, ITS Retreats reserves the right to make hotel, mentor, and other special guest substitutions as necessary due to circumstances beyond our control.
WAIVER OF RESPONSIBILITY
ITS Retreats and its representatives will take no responsibility or liability for:
Injury, loss, or damage to persons or property, including luggage.
Additional expenses resulting from changes in exchange rates, tariffs, or schedule.
Additional expenses incurred or due to sudden sickness, weather conditions, strikes, or other causes or acts of God.
Losses due to cancellations.
INTERNATIONAL AIR TRAVEL
Participants are responsible for their own travel arrangements to and from the location where we will be meeting for pickup. ITS Retreats is available to advise retreat participants in choosing the best arrival and departure airports and routing. Some retreats or optional tours will include transportation from a train station or airport. This is specific to each tour/retreat.
PAYMENTS
In order to reserve your place at an ITS Retreat, a deposit is required. All deposits and retreat payments must be made in US dollars and can be made by Visa, MasterCard, American Express or bank transfer. Credit card payments incur a processing fee of 2% of the total amount paid with the credit card.
Your booking confirmation will advise the balance payment due date. If, following the payment of a deposit at the time of booking, any balance remains unpaid within 90 DAYS of the intended departure date, we reserve the right to cancel your reservation and you will forfeit your deposit. The retreat price is subject to change without notice due to currency fluctuations but is locked in once your deposit is paid.
In all cases, a booking will not be confirmed until we are in receipt of cleared funds.
DEPOSIT REQUIREMENT
A deposit of $1,000.00 is required at the time of booking to confirm your spot. No reservation is considered confirmed until the deposit is received by ITS Retreats and the funds cleared by the bank. Each participant must pay a deposit.
Deposits are nonrefundable, though they may be used for a future retreat if used within 15 months of the original retreat.
PAYMENT PLAN
Within two weeks of your official sign-up date, you will be sent an email (the email address provided by you) with your trip balance and a reminder of when it will be due.
We understand travel is expensive and this is an investment. If making smaller payments over a longer period is of interest to you, please contact us by email, and we can discuss this with you.
Please check that your email is correct when you sign up and that you check your junk mail if you don't hear from us within 48 hours of reserving your spot.
FINAL PAYMENT
The final balance of your payment is due no less than 90 days before the start of the retreat. If a retreat participant registers after the final balance is due, the entire amount is due within 7 days of registration.
REFUND & CANCELLATION POLICY
In the unfortunate event that you must cancel your reservation, the retreat deposits are not refundable. We strongly recommend travel insurance that includes trip cancellation coverage to protect against financial loss due to certain cancellations and other trip interruptions.
Refunds
Retreat deposits are nonrefundable in every scenario below.
Final payments are due 90 days before the retreat starts and may be refunded as follows:
More than 120 days before the retreat: Full refund minus a $150 admin fee.
91–120 days before the retreat: Full refund minus $2,000
0–90 days before the retreat: No refund.
Cancellations
You can cancel at any time before the retreat starts. But cancellation fees apply regardless of the reason for a cancellation.
Any cancellation or amendment request must be sent to us in writing by email to info@ignitethesparkretreats.com and will not take effect until received by us.
Refund amounts are detailed above.
If your travel insurance policy covers the cancellation, you may be able to recover some or all costs—contact your provider for details.
PLEASE NOTE: Refunds will be issued to the card you used to purchase your retreat. If you no longer have access to the card used to purchase your trip, you will be given a credit in the amount of a refund towards a future retreat within 15 months of cancellation.
Note: Refunds take up to 20 business days to return to your bank account.
RETREAT COMMUNICATION
IMPORTANT: The main form of communication will be through the email address you provide. It is your responsibility to read through all communication sent to you via the email address you provide ITS Retreats. Please check your spam/junk folder to ensure you are receiving emails.
RELEASE OF LIABILITY
A Release of Liability is required to be completed before the trip departure. Attendees who fail to provide this signed release will not be allowed to join the trip and the cancellation policy will apply.
PHOTOGRAPHS
When participating in an Ignite the Spark Retreat, you consent to us using images of yourself taken during the retreat for marketing and promotional purposes in any medium we choose. You grant ITS Retreats a perpetual, royalty-free, worldwide license to use such images for publicity and promotional purposes. If you disagree with this, please email us in advance of the retreat to discuss.
LEAVING THE RETREAT
ITS Retreats and its representatives take no responsibility or liability for any participant who leaves the retreat before its conclusion or for any activity undertaken by any participant that is not included on the retreat itinerary and will issue no refund if this occurs. Furthermore, there will be no discounts or refunds for any retreat participant who temporarily leaves the retreat and then returns to the retreat later.
SPECIAL REQUESTS & DIETARY REQUIREMENTS
Should you have special dietary requirements, please inform us at the time of booking so we can make appropriate plans with the venue. We will make every effort to accommodate food preferences.
Payment of deposit or full payment shall be deemed as consent by the Participant in the above Terms and Conditions.
